The renewal process has been simplified even more! As of the 2013 renewal season, registrants will only need to provide one (1) document when applying for a renewal of their product: A new Renewal Form combines the previously required 3 documents: Application Form, Fee Form and Renewal Cover Letter.
The submission of the Statement of Product Specifications Form (SPSF) is no longer required for renewal.
The PMRA will not be sending an updated version of the label to the Registrant upon completion of the renewal as the Approved label can be found on the PMRA Label Search Database.
For fully registered pest control products that expire on December 31, 2013, registrants must advise the PMRA of their intent to renew by submitting a completed renewal application by September 27, 2013. If a registrant intends to discontinue the registration of a product, they must also notify the PMRA (see Section 7).
An email containing a notice of pending expiry of registration with a list of products subject to renewal will be sent to each registrant's official regulatory email address by June 2013 (please contact the PMRA Information Service at 1-800-267-6315 if the email was not received). This list identifies the products which are subject to renewal based on the information available at the time the report was generated. If the validity period for the registration of a product in that notice has recently changed such that it expires later than December 31, 2013, an application for renewal need not be submitted.
Failure to respond to the notice by December 31, 2013, will result in expiry of the registration of the applicable products. Expired products will be considered "not eligible for renewal". Please note that it is an offence under the Pest Control Products Act to manufacture, import, sell or use a non-eligible product. In order to reinstate a lapsed product registration, a registrant must provide an application to reinstate the registration to the PMRA within one year of the expiry date.
For renewal applications submitted by the Registrant, but not yet finalised by the PMRA on December 31, 2013, an interim renewal period to March 31, 2014, will be granted to allow legal sale and use of the product while the PMRA completes processing of the renewal applications.
The deadline for submission of renewal applications is September 27, 2013.

There are three options for submitting renewal applications to the PMRA. In order to prevent the creation of duplicate submissions, use only one delivery method:
With an activated account, registrants can log in to the Secure Web Portal and send the Renewal Form by clicking Submit an Application, then selecting the "Renewal" option. More information including information on enrolment is available.
Note that it can take approximately three weeks to complete the process for the activation of a new account.
To send renewal applications by mail, save the Renewal Form to an electronic media (CD-ROM or DVD-ROM) and label with the Registrant's name, pest control product registration number(s) and the word "Renewal". Submit the package to:

To send the Renewal Form by email to the PMRA's central email address (please note that email is not a secure method of delivery):
Attach the Renewal Form to the email. The subject line of the email must include the keywords "Renewal 2013 PRZ". If these keywords are not included in the subject line, the system will automatically return the email to the sender, and the PMRA will not receive the renewal application.
During the review of the renewal application, minor clarifications may be required. This will be done by telephone or email. If an acceptable reply is received within the identified period (up to ten (10) calendar days), the renewal process will continue.
If the Registrant has affirmed in the Renewal Form that there are no changes to the last approved SPSF(s) and/or label, or if the changes are Notifiable as per DIR2013-02, and the PMRA determines that the product is eligible for renewal of registration:
In the case of Notifiable changes, instructions will be provided to the Registrant to submit a Notification application to the PMRA within 1 year.
If the Registrant has affirmed in the Renewal Form that there are changes to the last approved SPSF and/or label that require an Amendment application:
If a Notification or Amendment application on the product has recently been approved by the PMRA, or such an application is in the process of being reviewed, please do not indicate on the Renewal Form that an application is required to make the change.
Information describing the process for providing notice of intent to discontinue the sale of a pest control product is available. Registrants will be informed in writing once the process is complete.
The List of Products Subject to Renewal reflects those products recorded on the PMRA's most recent product register. If a registrant has initiated but not completed a transfer of ownership of the product's registration, the onus to renew the registration remains with the registrant recorded on the PMRA's product register. The PMRA urges interaction between parties involved in the transfer of ownership to ensure that the registration of any affected products does not lapse.
Initial product registrants are responsible for renewing the registration of the initial product and any private label products associated with the initial product. The registration of private label products is dependent on the continued registration of the initial product. Therefore, initial product registrants must inform the private label product registrants of their decision to renew or discontinue the registration of the product. Furthermore, initial product registrants must ascertain whether the private label registrant intends to renew or discontinue the registration of the private label product and inform the PMRA of such a decision. The PMRA processes each initial and private label product as an individual product for the purposes of renewal. A renewal fee of C$154 will be applied to each product.
